Controller Position
BOOKKEEPING & ADMINISTRATION
Process and post all contributions
Maintain accounting controls by preparing and recommending policies and procedures
Maintain customer confidence and protect operations by keeping financial information confidential
DISBURSEMENTS
Compile program disbursement requests from AIAIA committees on behalf of global partners and initiate all wire transfers with bank (Bremer)
Manage AIAIA administrative expenses, including payroll, and make disbursements
Research and create wire transfer processes for new vendor recipients
FINANCIAL DATA & REPORTING
Provide financial and contribution data for gift acknowledgments
Provide financial and contribution data for the donor database administered through Funraise and reconcile data to the database administrator
Prepare income, expense, and asset, liability, and capital account entries by compiling and analyzing account information (QuickBooks). Provide monthly financial reports to Treasurer and Finance Committee.
Provide financial data for ad hoc financial and analytical reports requested by the Executive Director and/or Treasurer
AUDIT/REVIEW
Provide financial data and work with external auditors for annual review or audit and for required federal and state filings
Track the establishment of donor legacy giving programs administered by others when communicated to AIAIA
DONOR SERVICES
Investigate delayed or lost checks and pending online gifts, etc.
Assist donors in gifting stock, Donor Advised Funds, and IRA Qualified Charitable Distributions, etc.
Assist donors with questions re: 501(c)(3) status questions, 990 reports, etc…
Prepare information for companies considering payroll deduction and matching gifts and interacting with financial institutions re: ACH process

Workload, Compensation & Job Classification
Estimated weekly hours: 15-30 hours, with 20 hours on average. Hours vary with AIAIA’s event calendar and quarterly Board reports, with fundraising events representing the periods of greatest workload.
Reporting Relationship
The Controller reports directly to the Executive Director for daily work direction and on a dotted line to the Treasurer (member of the Board of Directors).
The Controller also collaborates with Board members overseeing Funraise Database, Donor Communications and Marketing.
